 Complete format of a letter to the editor 

1. 🏠 Sender's Address

Write your complete address, including your house number/flat number, area/street, city, and pin code. Your name should not be included here. 
2. 📅 Date
Enter the date of writing the letter in an expanded format (e.g., November 5, 2025) below the sender's address.
3. 📝 Receiver's Address
This section includes the official address of the newspaper or magazine.

4. 📋 Subject 
The subject must be a concise, single line that clearly communicates the letter's purpose. It should be brief and to the point, usually 7 to 8 words.

Use a formal greeting, such as "Sir/Madam" or "Respected Sir/Madam". 
6. ✍️ Body of the letter
The body is typically structured into three paragraphs, each with a specific function: 
Paragraph 1 (Introduction): Briefly introduce yourself (e.g., as a concerned resident or student) and state the purpose of your letter. Use a standard opening line like, "Through the columns of your esteemed newspaper, I would like to draw the attention of the concerned authorities towards...".
  • Paragraph 2 (Elaboration): Provide a detailed explanation of the issue. Include its causes, consequences, and why it is a matter of public concern.
  • Paragraph 3 (Conclusion): Conclude the letter by offering constructive suggestions or solutions. End with a hopeful appeal for action from the relevant authorities, not the editor. 
7. 🙏 Complimentary Close
Use a professional and polite closing that corresponds with your salutation. For a letter to the editor, "Yours sincerely" or "Yours faithfully" is appropriate. 
8. ✍️ Sender's Name
Sign your full name below the complimentary close. Your name should be written clearly in block letters. 
Important guidelines for content
  • Focus on the issue: Remember that you are writing to the editor to request that they highlight a public issue in their newspaper. Your appeal for action is directed at the concerned authorities, not the editor.
  • Maintain a formal tone: Use formal and respectful language throughout the letter. Avoid slang, contractions, and aggressive wording.
  • Stick to the word limit: For Class 10 board exams, the standard word limit is typically 120–150 words. Ensure your points are precise and not overly lengthy.
  • Proofread carefully: Check for grammatical errors, spelling mistakes, and correct punctuation before finalizing the letter. Proper presentation is crucial for scoring well. 

Format of a Formal Letter (CBSE Class 10)

Writing a formal letter requires a specific structure. Below is a simple and easy-to-remember format:


1. Sender's Address

Write your complete address at the top-left corner.

2. Date

Leave a line after the sender’s address and write the date in this format: DD Month YYYY.

3. Receiver's Address

Write the designation and address of the recipient.

4. Subject

Write a brief subject line summarizing the purpose of the letter.

5. Salutation

The main content of the letter is written here. Divide it into three paragraphs:

  • Introduction: Briefly state the purpose of your letter in the first paragraph.

  • Conclusion: Summarize your request or express your thanks in the final paragraph.

7. Complimentary Closing

Use polite phrases like:

  • If you know the recipient's name/title/role/position: "Yours sincerely,"
  • If you don't know the recipient's name/title/role/position: "Yours faithfully,"

8. Sender’s Name and Details

Write your full name and, if applicable, any designation or roll number.
